About the Position

We are looking for an experienced Part-Time Title Processor to join our growing real estate title team in Miami Lakes.

This is a 25-hour-per-week hybrid position, with 2 days working from our Miami Lakes office and 3 days working remotely from home.

The ideal candidate has experience with Florida residential real estate transactions and understands how to keep a title file moving from contract through closing. We are looking for someone organized, proactive, detail-oriented, and comfortable communicating with buyers, sellers, real estate agents, lenders, attorneys, and underwriters.

Responsibilities

Open & Process Title Files

  • Open new title orders and accurately set up files when contracts are received.
  • Review contracts and establish important transaction dates and deadlines.
  • Order and track title searches, lien and municipal searches, payoffs, surveys, HOA/condominium estoppels, and other required documents.
  • Coordinate with lenders, loan processors, agents, buyers, sellers, attorneys, and other parties.
  • Track contingency dates, closing dates, lender requirements, and outstanding items.
  • Enter and maintain accurate transaction information in the company’s title/closing software.

Review Title Commitments & Clearances

  • Review title commitments, lien searches, municipal searches, deeds, surveys, public records, and related documents for accuracy.
  • Identify potential title issues, including open mortgages, judgments, liens, probate matters, ownership issues, and legal-description discrepancies.
  • Coordinate the clearing of title requirements and escalate legal/title issues to the attorney or underwriter when appropriate.
  • Track outstanding title requirements through resolution.
  • Assist with commitments, endorsements, clearance documentation, and final title policies.

Prepare for Closing

  • Help prepare closing packages and transaction documents.
  • Review Closing Disclosures (CDs), ALTA Settlement Statements, and other settlement documents for accuracy.
  • Coordinate closing figures with lenders and other parties.
  • Confirm required funds, documents, signatures, and closing conditions are ready before closing.
  • Coordinate closing schedules with all parties.
  • Assist with post-closing activities, including funding, disbursement, recording, and title policy issuance.

Client & Agent Communication

  • Serve as a responsive point of contact for real estate agents, buyers, sellers, lenders, and other transaction participants.
  • Provide proactive status updates throughout the transaction.
  • Follow up on outstanding documents and requirements before they become closing problems.
  • Explain title and closing requirements clearly and professionally.
  • Help create a smooth closing experience that encourages agents and clients to return for future transactions.

Qualifications

  • 1+ year of title processing and/or real estate closing experience preferred, ideally involving Florida residential transactions.
  • Working knowledge of Florida title commitments, lien and municipal searches, payoffs, estoppels, surveys, settlement statements, and residential closings.
  • Experience identifying and helping resolve common title defects.
  • Strong organizational skills and ability to manage multiple active files simultaneously.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to work independently while remote.
  • Comfortable working with Microsoft Office and title/closing software.
  • Experience with Qualia, SoftPro, ResWare, or similar title software is a plus.
  • High school diploma or equivalent required.

  • Spanish fluency

Schedule & Work Arrangement

This is a part-time position averaging 25 hours per week.

Hybrid Schedule:

  • 2 days per week – Miami Lakes office
  • 3 days per week – Remote / work from home

Candidates must be able to reliably work from the Miami Lakes office on designated in-office days and maintain a professional remote-working environment on work-from-home days.

Compensation

Pay is based on experience.
